Privacy Policy

This policy explains what personal information 118 West LLC a California Limited Liability Company ("118" or "118 West") collects through 118West.com, our apps, plugins and services, how we use it, and the choices you have.
1. Who this covers
This policy applies to visitors of 118West.com, people who register for or buy B-Bot products and services, and customers who use the B-Bot The IA Chatbot plugin (the “Plugin") or any other app or plugin created by 118 West. It does not cover other websites we link to.
Two roles matter. For information about our own visitors and customers, 118 West decides how it is used. For the questions that visitors type into a chatbot on a customer's website, the customer who runs that website decides how that information is used. When a customer is on a Managed plan, 118 West handles those questions only on that customer's behalf, to deliver the service.
2. Information we collect
We collect only what we need for the purposes below.

If you never enter an account key, the Plugin sends nothing to 118 West.
3. How the B-Bot chatbot handles data
The Plugin answers visitor questions using content from the website that installs it. There are three ways it can run.
- Free, using your own Anthropic key. Visitor questions and the short site excerpt used to answer them go from the customer's own server directly to Anthropic. 118 West is not in the path and does not receive them. Anthropic's terms and privacy policy apply to that processing.
- With an optional account key. The Plugin contacts 118West.com to look up the plan, as described in the table above. Chat content is not sent.
- Managed plans. Questions and the site excerpt pass through 118 West's servers to Anthropic and back. We use them only to generate the answer and record token counts and cost for usage limits and billing.
Chatbot answers are generated by artificial intelligence and may contain mistakes. Customers should tell their visitors that they are chatting with an AI assistant and should not ask visitors to enter sensitive information in the chat. If a customer uses the lead form, the details a visitor enters are emailed to the customer by their own website, not to 118 West.
To limit abuse and runaway usage, the Plugin may use short-lived tokens, rate limits and daily limits on the customer's site. These are not used to track people across websites.
4. Our website: comments, media, cookies and embedded content
Comments. When visitors leave comments on the site, we collect the data shown in the comment form, and also the visitor's IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available at https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Spam detection. Visitor comments may be checked through an automated spam detection service like Akismet or IONOS Spam prevention.
Media. If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies. If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies last for one year.
If you visit our login page, we set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login persists for two weeks. If you log out of your account, the login cookies are removed.
If you edit or publish an article, an additional cookie is saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Our customer account area, which you open with an emailed login link, uses its own session cookie that expires on its own. [Add analytics or advertising tools here if used, with how to opt out.] We do not respond to "Do Not Track" signals because there is no common standard for them.
Embedded content from other websites. Articles on this site may include embedded content (for example videos, images and articles). Embedded content from other websites behaves in exactly the same way as if the visitor had visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction if you have an account and are logged in to that website.
5. Email and sharing
Two kinds of email. Service emails (confirmation links, account keys, login links, receipts, renewal notices, usage warnings and payment problems) are sent because they are part of the service, and you cannot opt out of them while you have an account. Marketing email about B-Bot updates, tips and new products is sent only if you ticked the optional box. The site administrator email address the Plugin sends us is used only for service notices such as usage warnings, and is never added to a marketing list. Every marketing email includes an unsubscribe link and our mailing address. Unsubscribing stops marketing email only.
Who we share information with. We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only with service providers who help us run the business, under contract: Stripe (payments), Anthropic (AI processing on Managed plans), our email delivery provider, and our website hosting and security providers. We may also disclose information if the law requires it, to protect rights and safety, or in a merger or sale of the business, with notice where required. If you request a password reset, your IP address is included in the reset email. Customer information is not shared with third parties without your permission, except as needed to integrate and run our systems as described above.
6. Keeping, protecting and your rights
How long we keep it. We keep account and billing records for as long as you have an account and then for the period required for tax, accounting and legal purposes [confirm period, for example 7 years]. Marketing preferences are kept until you unsubscribe, and we then keep a minimal record so we do not email you again. Usage records (token counts and cost) are kept for [confirm period] for billing and dispute purposes. Unverified signups are deleted after [confirm period].
Comments and profiles. If you leave a comment, the comment and its metadata are retained indefinitely, so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users who register on our website and for our customers, we also store the personal information they provide in their user profile. All users can see, edit or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Security. We use access controls, encrypted connections and our providers' security measures. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights. Depending on where you live, you may have the right to know what we hold about you, get a copy, correct it, delete it, object to or restrict certain uses, withdraw consent, and not be treated unfairly for using these rights.
- California residents: you may request to know, delete or correct personal information, and to opt out of its sale or sharing. We do not sell or share personal information as those terms are used in California law.
- European Economic Area, United Kingdom and Switzerland: our legal bases are performing our contract with you (accounts, plans and billing), our legitimate interests (security, support and improving the service), your consent (marketing email), and legal obligations. You may also lodge a complaint with your local data protection authority.
To use any of these rights, email [privacy@118West.com]. We may need to verify your identity first, and we respond within the time the law requires. If you are a visitor who used a chatbot on someone else's website, please contact that website's owner first, because they decide how your chat is used.
If you have an account on this site, or have left comments, you can request an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include data we are obliged to keep for administrative, legal or security purposes.
7. Children, transfers, changes and contact
Children. Our products are for businesses and organizations, not for children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.
Transfers. 118 West is based in the United States, and our providers may process information in the United States and other countries. Where required, we rely on appropriate safeguards for international transfers.
Changes. We will post changes here and update the date at the top. If a change is significant we will also notify account holders by email.
